**New board structure for
2009-2010:
Colleen
Glynn - President
Kathy
Granados - Vice President
Alison
Huck - Vice President
Marlene
Guba - Secretary
Alexia
Forhan - Treasurer
Janet
Johnson - Community Relations
Kara
White - Alumni Relations
As Marlene was unable to attend the meeting; Kara will be
taking the minutes
- Secretary’s
report
- It
has been decided by the board that minutes will be typed and sent to all
board members, the Krauses, Vicky Kneece and Jay Costa within one week of our meeting.
We need to make sure that our meetings are kept open to the public and
give people the option to read our minutes on our website.
- Colleen
will be contacting the Kneece’s about making
sure this content is posted on the website.
- Calendar
Raffle
- Ticket
sales are going on. Our blitz day was Sunday, April 5. A parent will be
at the boathouse weekly on Fridays to pick up any money the kids have.
- Kathy
Granados requested 30 tickets to sell
- Misc.
discussion regarding calendar raffle
- FOSC
Printer
- Janet
brought to the board’s attention that Jane Marie Ouellette still has FOSC’s laser printer that was used to print the
raffle tickets. Someone on the board should be in possession of that.
- Thank
you notes
- As
Marlene is usually our thank you note sender, Janet wanted to check to
see who would be sending the thank you notes to raffle item donors.
Since Janet secured most of the donations, the board decided that Janet
will send her contacts thank you notes and all other solicitors will
take care of sending thank you notes to their contacts. If there were
any general donations that were not secured by a member of the calendar
committee (i.e. a parent donation) Marlene will send a note.
- To
that note, Janet will create a list of the raffle items with the
solicitors name next to it so we know who should send which note.
- Kara
will post a note on the “I rowed for SHS” group on Facebook
about the raffle
- Race
Day Food
- New
policy: we will only be providing breakfast items at morning races as
well as beverages
- Kids
will be responsible for providing their own means for lunch; either
bringing a lunch or buying food at concession stands
- We
will have food at the last race of the season
- Carol
Doucette has been coordinating with parents on the new policy.
- We
will reassess this policy for the fall season to see if it will work
- Boosters
event at Chipotle
- Crew
team was very well behaved
- 100%
participation from both boys and girls teams
- Treasurer’s
Report
- Old
business
- Checks
for Rick Stavros and Jimmy Tingle – Stavros check has been cashed, still waiting for
Tingle to cash his. $500 and $200, respectively.
- $450
will be deposited from raffle sales so far
- One
check was cut to the Krause’s for reimbursement for purchasing items for
the calendar raffle
- Sale: Old boats were sold to Worcester for $6,500 and we purchased a
premiere racing 4 for $5,500. The $1,000 surplus will be used to purchase
electronics for the 4.
- Erg
Issues
- Steve
and Russ will be numbering the ergs to make repairs easier
- Steve
will get numbers from Home Depot and be reimbursed by FOSC
- Going
forward, the board has decided to buy parts in bulk if at all possible
to receive price breaks (for example, if we need 4 of something and the
price break is at 5, we will order 5 and keep the extra on hand)
- At
this moment we have 9 working ergs out of 18
- Launches
- 1
launch motor is in the shop
- Gas
and oil is being paid for out of pocket by coaches. Russ is working on
this with Jay Costa
- Miscellaneous
Discussion
- Colleen
asked where $290/season/rower is going and if any of that money comes
back to the crew team directly. We are under the impression that it goes
to a general fund within the town
- Russ
mentioned that Vicki Kneece had some of her
photos blown up into posters and had them on display at the pasta party.
The printer/framer (Joe Provenzano) would like
to donate his services to FOSC to have pictures blown up and hung in the
boathouse. Kara will write a letter to Joe thanking him for his in-kind
donation to the team.
- Regarding
reimbursements: Alexia is going to look into having a debit card tied to
our account at the bank so the coaches can use that instead of waiting
for reimbursements.
- SHS
Crew Scholarship
- Colleen
received an email from a parent regarding the scholarship
- The
board has decided that fliers will be printed up and distributed at the
boathouse to the seniors. Any one who is interested can apply either
online or send their application to Alison Huck. Alison will bring the
essays to the next board meeting where she will read them to the board
and we will pick one boy and one girl to receive the scholarship grant.
This will keep the voting impartial.
- Crew
jackets
- In
the past, the only rowers who could get a Boathouse jacket were Varsity
upperclassmen. We have changed this. If the rower is on a varsity boat,
regardless of their grade level they are eligible to purchase a jacket.
We will also be opening sales in the spring where normally jackets can
only be purchased in the fall.
- Colleen
will create a flier to send to Pam to distribute to eligible rowers.
Each rower should contact Boathouse directly to order their jacket.
